National Office - Updates
A New Structure for the Future
• We have been transitioning all Pony Clubs into the new structure under the Incorporated Societies Act 2022.• Clubs and Regions have adopted the new NZPCA constitution
.• Some clubs have wound up and redistributed assets in a planned and supported way.
• We have created practical toolkits and checklists to help volunteers through this change.
This has been one of the biggest governance shifts in NZPCA history.
Strengthening Our Rules and Systems
• We have started reviewing all regulations and bylaws to make them clearer and more consistent.
• The goal is to simplify them into one to two clear documents covering events, certificates, membership, and committee responsibilities.
• We have improved clarity around complaints, escalation processes, and who is responsible at each level.
International Engagement
• Strong New Zealand representation in the International Alliance Virtual Dressage competition.
• Ongoing Mounted Games international exchange planning.
• Continued relationship building with international Pony Club partners.
• Preparation for future international hosting responsibilities.
Communication and Systems
• Continued improvements to the NZPCA website and event entry systems.
• Ongoing support for Clubs and Regions through forums and direct engagement
.• A very high volume of member communication was managed during the transition period.
International Quiz and National Quiz Milestones
Since August 2025, the Quiz programme has reached several important milestones.
• Multiple Expressions of Interest were received for the International Quiz team, reflecting growing enthusiasm and depth of talent across the country.
• Selection interest was stronger than in previous years, demonstrating that Quiz is gaining real traction as a respected pathway within NZPCA.
• Continued alignment with international Pony Club standards has strengthened our credibility and preparation.
A significant achievement this season was the introduction of the first National Quiz as part of Championship Week.
• Quiz was formally integrated into the national championship environment.
• This elevated the profile of Quiz alongside our riding disciplines.
• It reinforced that horsemanship knowledge is equally valued within NZPCA.
This marks an important step in positioning Quiz as a core component of our education framework.
A special acknowledgement and thank you to Kristine Jones for her leadership and dedication. Her work has been central to the growth of both the International Quiz programme and the successful launch of the first National Quiz at Championship Week.

Based on the position profiles you provided, this is a practical summary of the core functions that the new Region team will carry out.
Regional Leadership and Governance
Provide leadership across the Region and support all Clubs.
Chair Regional meetings and oversee Regional activities.
Ensure the Region operates in line with NZPCA values, Code of Conduct, and strategic objectives.
Prepare and present an Annual Report.
Support Clubs that are experiencing challenges.
Attend key Regional events and represent the Region.
Ensure a Regional Judicial Committee is in place.
Confirm Regional nominations for:
Championship teams
Awards
Remits and discussion items for Conference or Forum.
Regional Administration and Communication
Manage all Regional records, correspondence, and archives.
Prepare and distribute meeting agendas and minutes.
Communicate information and decisions to Clubs.
Collate and distribute entries and information for Regional and National events.
Maintain Regional committee details and official contact information.
Submit nominations, entries, awards, and remits to NZPCA by required dates.
Provide audited financial reports to the Registrar of Incorporated Societies after the AGM.
Regional Financial Management
Manage all Regional finances and budgets.
Monitor income and expenditure against the annual budget.
Approve and pay accounts and manage creditors.
Invoice and receipt all monies.
Provide financial reports at each Regional meeting.
Prepare annual financial statements for audit or review.
Present the audited accounts at the AGM and submit them to NZPCA and the Registrar.
Coaching, Education and Capability
Act as the Regional link for coaching and examining.
Support delivery of the coaching pathway and ECTP.
Maintain a database of coaches and examiners and track their progression.
Support Continuous Professional Development for coaches.
Develop and monitor an annual Regional Coaching Plan.
Coordinate training days, workshops and examiner clinics.
Support Clubs with coaching plans and resources.
Report coaching activity to NZPCA.
Present an annual coaching report at the AGM.
Act as the Regional representative for higher level certificate examinations when required.
Support to Clubs and Members
Provide advice and guidance to Club officials.
Be available to meet with Clubs when needed.
Coordinate Regional information, opportunities and resources.
